Church and Nonprofit Facility Maintenance Checklist

Churches and nonprofits often need practical facility work that respects events, volunteers, access schedules, limited budgets, and documentation needs.

Start with building use and calendar limits

Facility maintenance is easier to review when the request explains how the building is used, which areas are public, and what dates or events limit access.

Include service times, meetings, tenant use, school or nonprofit programs, volunteer days, and any quiet hours that affect route planning.

Group repeat maintenance into a clear list

A single facility visit may need several small items reviewed together. Grouping them helps separate immediate repairs from maintenance-plan items and future budget notes.

  • Entry doors, locks, thresholds, ramps, and weatherstripping
  • Windows, screens, trim, siding, and exterior transitions
  • Water stains, restroom concerns, plumbing-adjacent damage, or ventilation notes
  • Seasonal weatherization, safety, and property-preservation items
  • Photos or written notes needed for board, donor, or insurance records

Name the approval path early

If a board, pastor, director, property chair, or treasurer needs to approve the work, identify the decision path before scope review.

Clear approval and contact details reduce back-and-forth when the work needs pricing review, scheduling, documentation, or phased planning.
