How To Prepare an Inspection Repair Request

Inspection repair requests move faster when the report items, photos, deadlines, and access details are separated into a practical scope instead of sent as one vague repair note.

Send the source document and the priority items

Start with the inspection report, addendum, lender note, or punch list. If only some items need review, identify those items by page number, photo number, room, exterior side, or report label.

If there is a closing date, reinspection date, occupancy deadline, or weather concern, include it in the first message so the request can be reviewed against schedule and route reality.

Separate repair categories before review

Inspection lists often combine simple adjustment items with moisture, safety, exterior, opening, and documentation issues. Grouping similar items helps define what can be scoped together.

  • Exterior trim, siding, weatherization, and sealant items
  • Door, window, screen, lock, or opening issues
  • Water, mold, moisture, staining, or soft-material concerns
  • Small repair, maintenance, and property-preservation items
  • Items that need photos or notes after completion

Include access and documentation expectations

Inspection repair work often depends on who can open the property, when tenants or owners are available, and what documentation is needed after the work.

Send gate codes, lockbox notes, tenant limits, preferred contact, and any requested photo documentation before the route is reviewed.
